Summary

The Administrative Assistant is responsible for the academic and professional support for the College of Graduate and Professional Studies/TrineOnline. This position requires a high degree of organizational and interpersonal skills with a collaborative attitude and ability to form positive relationships with staff throughout the university. This individual should be flexible, visionary, creative and energetic. The Administrative Assistant must also have high technology skills. Additionally, this individual must be able to work independently with little direct supervision and excellent decision-making skills.

 Essential Duties and Responsibilities

  • Maintain documentation and communicate important dates and updated information to staff.
  • Create and maintain all student forms, degree control sheets, and documents as needed.
  • Maintain extensive knowledge of university and department policies and procedures.
  • Assist with the faculty hiring process and maintain faculty records.
  • Prepare all College of Graduate and Professional Studies/TrineOnline contracts through DocuSign and create DocuSign forms as needed for staff.
  • Serve as point of contact for the Registrar and assists with student registrations.
  • Enter graduate and undergraduate course schedules and faculty assignments into Jenzabar database using Monday.com.
  • Update information for the College of Graduate and Professional Studies/TrineOnline in the university Course Catalog and on the college website.
  • Coordinate staff meetings.
  • Maintain attendance for main campus students enrolled in online courses.
  • Serve as secretary for graduate council and write council minutes as needed.
  • Create and send surveys to faculty and students using JotForm.
  • Enter course textbooks into the Bookstore website.
  • Serve as the office administrator, including ordering supplies and maintaining daily operations of the building.
  • Additional duties as assigned.

Education and/or Experience

A minimum high school or GED diploma required with a minimum of four years of administrative support/business administration experience or an associate’s degree preferred.
